RESPONSIBILITIES
- Direct supervision of office, facilities, and reception administration staff within the ULS Global Real Estate Team.
- Administration of (WMS or CMMS) work order management system including intake, allocation, and assignment of work to the appropriate department or staff.
- Management of Real Estate SharePoint and department communications.
- Process all contractor/supplier PO's and invoices relative to assigned facilities.
- Accuracy of facilities records and inventory.
- Identification and Implementation of improvements / cost reductions in assigned work tasks.
- Responsible for coordination of special events with other business unit and executive administration.
- Support Facilities Manager in ensuring efficient execution of facilities service contracts.
- Oversee conferencing/hoteling software and manage scheduling conflicts within all common spaces.
- Responsible for organizing, scheduling, and planning of department level events.
QUALIFICATIONS
- 3-5 years of previous building maintenance administration preferred.
- Knowledge of Facility Systems and Responsibilities.
- Detail-oriented with strong organization skills.
- Excellent verbal and written communication.
- Strong proficiency in Microsoft Excel, PowerPoint, and SharePoint.
- Experience in CMMS/Work Order systems.
